How we handle what you send us
Privacy policy for ReceiptChase
What the contact form collects, why we keep it, how long it stays, and the rights you can exercise over it, whether you write to us from Sacramento or from Strasbourg.
Last updated: March 2, 2026. This policy covers the public website receiptchase.com. Data processed inside a paid ReceiptChase account, including the documents your clients upload, is governed by the data protection terms in our terms of service and by the agreement signed with your practice.
Who is responsible for your data
The controller of the personal data collected on this website is MLJ, SASU, share capital 500.00 euros, registered under SIREN 934 769 837 with the Paris commercial court registry. The publication director is Jimenez Julien. You can reach the controller at any time at jimenezjulien42@gmail.com. Full company details are published on our legal notice page.
What the contact form collects
The only place this website collects personal data is the request form in the contact section of the home page. When you submit that form, the following named fields are transmitted to us and stored:
- name: the full name you type, so a person can address you properly in the reply.
- email: the work email address we reply to. This is the only field we strictly need in order to answer.
- company: the name of your practice or firm, used to understand your context before the call.
- role: your role, chosen from a list such as owner and sole practitioner, managing partner, staff accountant, full charge bookkeeper, firm administrator or client accounting services lead.
- request: what you are asking for, such as booking a demo, requesting early access, requesting a quote, or asking about moving off a spreadsheet.
- size: how many client files you carry, in bands from 1 to 10 up to more than 60.
- message: the free text you write about the documents you chase and your close week.
- consent: the record that you ticked the consent box before sending.
Three hidden technical fields travel with the submission: form-name, which routes the message to the right form; subject, a fixed line identifying the enquiry as coming from receiptchase.com; and recipient, the mailbox that receives the notification. A honeypot field named bot-field is present and is expected to stay empty: it exists only to catch automated spam and is never used to identify a human visitor.
We do not ask for a postal address, a telephone number, a date of birth or any payment detail on this website. Please do not paste client account numbers, taxpayer identification numbers or client documents into the message field: if you do, we delete them and tell you.
Why we process it, and on what legal basis
Your submission is processed for one purpose only: to answer your request, prepare a demonstration if you asked for one, and follow up once if we get no reply. Under the EU General Data Protection Regulation the legal basis is your consent, given by ticking the consent box, together with our legitimate interest in responding to a commercial enquiry addressed to us. We do not use your details for profiling, we do not build an advertising audience from them, and we do not enrich them with data bought from a third party.
Who processes and stores submissions
Form submissions are processed and stored by Netlify Forms, operated by Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which also hosts this website. Netlify keeps the submission in its dashboard and sends an email notification to the recipient mailbox. Our replies to you travel through our own business email provider. Nobody else receives your submission: we do not sell, rent, trade or otherwise share the contents of this form with lead brokers, data resellers, advertising networks or partners.
How long we keep it
An enquiry that does not turn into a commercial relationship is kept for 24 months from the date of your last message to us, then deleted from the Netlify dashboard and from our mailbox. If your practice becomes a customer, the enquiry is kept for the duration of the contract and then for the legal retention period that applies to commercial records. You can ask for earlier deletion at any moment and we act on it within 30 days.
Cookies and tracking
This website sets no advertising cookies and no third party analytics cookies. There is no Google Analytics tag, no advertising pixel, no session recorder and no cross site tracker on any page. The site loads two typefaces from Google Fonts, which means your browser requests those font files from a Google server and that server sees your IP address as part of any normal web request. No script on this site writes an identifier to your browser storage.
Your rights in the United States
If you are a resident of California, Colorado, Connecticut, Utah or Virginia, state privacy law gives you the right to know what personal information we have collected about you and why, the right to obtain a copy of it, the right to correct inaccurate information, and the right to have it deleted. You also have the right not to be discriminated against for exercising those rights, which is easy for us to honor because our service and pricing do not depend on your data at all. We do not sell personal information and we do not share it for cross context behavioral advertising, so there is no opt out signal to send us, though we honor a Global Privacy Control signal where a browser sends one. To exercise any right, write to jimenezjulien42@gmail.com from the address you used on the form, and we will respond inside the statutory period, which is 45 days in California with a possible extension.
Your rights under the GDPR
If you are in the European Union or the United Kingdom, you have the right of access, rectification, erasure, restriction of processing, objection to processing and data portability, and the right to withdraw your consent at any time without affecting the lawfulness of processing carried out before the withdrawal. Send your request to jimenezjulien42@gmail.com and we will answer within one month. If you consider that your rights have not been respected, you may lodge a complaint with your national supervisory authority, which in France is the Commission Nationale de l'Informatique et des Libertes.
International transfers
Because our host and form processor is a United States company, a submission sent from Europe is transferred to and stored in the United States. That transfer is covered by the Standard Contractual Clauses adopted by the European Commission, which are part of the data processing terms Netlify offers its customers, together with the technical measures described below. If you would rather not have your details transferred, write to us directly by email instead of using the form.
Security
The site is served over HTTPS with security headers that block content type sniffing, restrict framing to the same origin, deny access to camera, microphone and geolocation, and limit referrer information sent to other sites. Access to form submissions is restricted to the publication director and is protected by multi factor authentication. We keep no copy of your submission on a personal device outside that mailbox.
Children
ReceiptChase is a professional tool for bookkeeping practices and accounting firms. It is not directed at children, we do not knowingly collect personal information from anyone under 16, and there is no part of the service intended for a minor. If you believe a child has sent us information through this website, write to jimenezjulien42@gmail.com and we will delete it promptly.
Changes to this policy
If we change how the form works, add a processor or alter a retention period, we update this page and change the date at the top. Material changes are also announced by email to practices with an active subscription. The version published here is always the one in force.
