The month end document chase checklist

The four stages that get statements, receipts and forms in before your cutoff, written for a book of 10 to 60 monthly clients.

Most late closes are not caused by difficult accounting. They are caused by a bank statement that arrived on the nineteenth, a card nobody mentioned, and a client who read the request on a phone and forgot it. The chase is a process problem, and process problems respond well to a fixed sequence run the same way every month.

This checklist is the sequence. It covers setting the standing list before the month ends, sending the first request on a fixed day, working the nudge window without becoming a nuisance, and closing on time with a short and honest exception list. Work through it once for your whole book and it becomes something a new hire can run without you.

How to use it

Run stage one once for the whole book, ideally in a quiet month, and it becomes a permanent asset rather than a monthly chore. The standing list per client is the piece that pays off repeatedly, because every later month is the same list with new dates and whatever carried over unanswered from before.

Stages two through four are the monthly loop. Print the checklist, or paste it into whatever you already use, and work it in order for two full months before you change anything. Most practices see the open item count at cutoff fall in the second month, once clients learn that the request always arrives on the same day and that the cutoff holds.

Questions about this document

How long does the first setup take?

Budget around ten minutes per client to write the standing document list, so an afternoon for a book of 25. Do it with the vendor ledger and the bank feed status in front of you rather than from memory. The list only needs to be right once.

Will a hard cutoff upset clients?

Not if you publish it in advance and apply it evenly. Clients respond badly to surprise, not to structure. The exception list is what makes the cutoff fair, because it shows exactly what was asked for and when.

Does this work for a catch up engagement?

Yes, with one change. Treat each missing period as its own item so the list shows real progress, and use a slower nudge cadence than you would for a monthly client. A fourteen month backlog needs weeks of patient asking, not daily reminders.

Running the four stages without doing it by hand

Every step in this checklist can be worked with a folder, a calendar reminder and a firm cutoff date. The steps that slip first are always the same two: sending on a fixed business day when the close is already busy, and working the open items oldest first instead of client by client.
